Business Operations Coordinator – Recruitment Agency
Location: Rubery, Birmingham (Hybrid – 4 days office / 1 day working from home)
Salary: £30,000 – £33,000 (depending on experience)
Hours: 40 hours per week, Monday to Friday, 8:30am – 5:00pm (30-minute unpaid lunch)

This is a brand-new role with the opportunity to become an operational expert across our business, taking ownership of many of the financial, operational and compliance functions that keep everything running smoothly.
Based in our growing Birmingham office, you’ll report directly to our Managing Director, who is primarily based at our East Midlands office. You’ll need to be confident managing your own workload, prioritising effectively and working with a high degree of autonomy.
With the freedom to improve systems, solve problems and continually look for better ways of working, you’ll play a key role in shaping how the business operates as we continue to grow.
This isn’t a traditional administration role. It’s an opportunity to build a career as an operational expert within an ambitious and growing recruitment agency.
What You’ll Be Doing
This is a varied role where no two days will be the same. Your responsibilities will include:
- Producing weekly and monthly financial, KPI and gross margin reports to support business performance and strategic decision making.
- Driving continuous improvement across the company’s finance processes by working closely with our accountant, invoice finance provider (QUBA) and suppliers to improve efficiency, reporting and commercial performance.
- Managing the purchase ledger, supplier payments and supporting effective cashflow management.
- Overseeing temporary and permanent recruitment compliance, including Right to Work, onboarding and contractual documentation.
- Maintaining accurate records across our CRM and recruitment systems to ensure data integrity and compliance.
- Managing key supplier relationships while supporting operational projects and continuous business improvement.
- Identifying opportunities to improve systems, processes and the use of AI and automation across the business.
- Providing trusted operational support to our Directors, taking ownership of projects and helping the business operate more efficiently every day.
About You
This role would suit someone with previous experience in operations, business support, finance administration, compliance or office management role within a fast-paced business.
You’ll ideally be able to demonstrate:
- Previous experience producing financial reports, KPI dashboards or management information to support business decision making.
- Strong Microsoft Excel and Microsoft Office skills, with the confidence to quickly learn new systems and software.
- Experience using QuickBooks (or similar accounting software) and supporting the day-to-day finance operations of a business.
- Experience creating, improving or automating business processes and workflows to increase efficiency.
- Experience working in a fast-paced environment where priorities can change quickly and multiple deadlines need to be managed effectively.
- The ability to work independently, prioritise your own workload and perform with a high degree of autonomy.
- A professional, customer-focused approach with the confidence to build strong relationships with colleagues, suppliers and external business partners, including accountants and funding providers.
- Excellent organisational skills, exceptional attention to detail and a genuine desire to continually improve the way a business operates.

- £30,000 – £33,000 basic salary, depending on experience.
