In this role, you will be responsible for ensuring drivers have everything they need to be fully equipped, compliant and ready to start work. You will coordinate the preparation, allocation, tracking and return of driver equipment and resources, working closely with internal teams and external suppliers.

Position: Driver Operations Coordinator

Location: Birmingham Business Park, Birmingham

Salary: £13.00 – £14.50 per hour (DOE)

Hours of work: 8:30am – 5:30pm Monday to Friday

Contract: Temp to Perm

About the role: 

  • Prepare, pack and dispatch driver kits in line with onboarding schedules and operational requirements.
  • Create and issue driver ID badges, ensuring information is accurate and up to date.
  • Allocate and track equipment including uniforms, iPads, EVo devices, trackers, fuel and EV cards and trade plates.
  • Ensure drivers receive the correct equipment before their start date.
  • Process returned equipment, accurately record returns and ensure suitable items are available for reallocation.
  • Work with offboarding teams to ensure equipment is recovered when drivers leave the business.
  • Escalate outstanding equipment or financial issues relating to leavers where required.

Inventory & Asset Management

  • Maintain accurate records of all driver equipment and assets.
  • Track equipment allocations, replacements and returns to ensure full visibility and auditability.
  • Carry out regular stock checks and support inventory audits.
  • Monitor stock levels and highlight shortages, discrepancies or potential issues to management.
  • Ensure returned equipment is processed and recorded promptly.

Administration & Systems

  • Maintain accurate driver and equipment records across multiple systems and platforms.
  • Complete data entry and updates across systems including Manpack, MIB, kit portals, tracker systems and fuel card platforms.
  • Ensure information is accurate, complete and up to date.
  • Support reporting by maintaining reliable and accurate records.

Inbox & Query Management

  • Manage shared inboxes relating to driver equipment, resources and requests.
  • Act as a first point of contact for driver equipment queries.
  • Investigate and resolve issues where possible, escalating more complex queries to the appropriate team.
  • Coordinate equipment recovery from leavers, working with internal teams and external recovery partners.

Stakeholder Coordination

  • Work closely with the Resourcing and Training teams to ensure equipment is prepared in line with recruitment volumes and driver start dates.
  • Liaise with Offboarding and Field Support teams to coordinate and monitor equipment returns.
  • Support Operations teams with day-to-day equipment and resource queries.
  • Work with IT and external suppliers to resolve equipment, device and system issues.
  • Communicate effectively with suppliers and service providers to ensure equipment and resources are available when required.

Compliance & Health and Safety

  • Follow company procedures for equipment handling, data protection and compliance.
  • Ensure all equipment is handled, recorded and stored appropriately.
  • Maintain a clean, organised and safe kit room.
  • Follow all relevant Health & Safety procedures.
  • Identify recurring issues or inefficiencies and contribute ideas for improving processes.

You will ideally have:

  • Previous experience in administration, coordination or a similar role.
  • Excellent attention to detail and accuracy.
  • The ability to manage multiple tasks, priorities and deadlines.
  • Confidence using Microsoft Office, particularly Excel.
  • Experience working with multiple systems and maintaining accurate records.
  • Strong organisational and time-management skills.
  • Good written and verbal communication skills.
  • A proactive approach to problem-solving.
  • The ability to work independently and take ownership of allocated tasks.
  • A reliable and accountable approach to your work.

Desirable Experience

  • Logistics or transport administration.
  • Driver operations or fleet administration.
  • Recruitment or onboarding.
  • Inventory or stock coordination.
  • Equipment or asset management.
  • Packing and dispatch processes.
